
Restaurant refrigeration rarely dies suddenly. It warns you for weeks — a coil that runs hotter, a compressor that cycles more often, a box that takes an extra hour to recover after the lunch rush. Kitchens miss those signals because nobody is assigned to watch for them.
These are the nine practices that separate operators who lose product twice a year from operators who do not.
1. Log temperatures twice a day, and act on trends
Not because the health inspector wants it — because the log is your only early warning system. Reach-ins and prep tables should hold 35–38°F (never above 41°F). Freezers hold 0°F to -10°F. Walk-in coolers hold 36–38°F.
What matters is not the reading, it is the drift. A box that held 36°F in March and holds 39°F in June has a developing problem: dirty condenser, low charge, or failing door seal. Investigate a 3°F drift before it becomes a 12°F emergency.
2. Clean condenser coils on a schedule, not on failure
A condenser coil that is half blocked with grease and dust raises head pressure, drives up amp draw, and shortens compressor life measurably. In a fryer-adjacent back room, coils need cleaning monthly. Elsewhere, quarterly.
This is the highest-return maintenance task in a commercial kitchen and it costs nothing but a shop vacuum, a coil brush, and fifteen minutes per unit.
3. Treat door gaskets as consumables
Every gasket in the kitchen should pass the dollar-bill test: close the door on a bill, and it should take real resistance to pull out. If it slides, the gasket is done.
Torn gaskets pull humid kitchen air into the box, which becomes evaporator ice, which becomes a defrost problem, which becomes a warm box on a Saturday night. Replace them proactively — a gasket is $60 to $180, a lost walk-in of product is thousands.
Also check the self-closer: a walk-in door left 4 inches open for a shift will ice an evaporator solid.
4. Flush condensate drains monthly
Warm water and a tablespoon of bleach down each drain line, monthly. Biofilm and grease build up, the line plugs, the pan overflows or freezes, and water ends up on the floor near electrical components. It takes two minutes per unit.
5. Respect airflow — inside and out
Inside the box, product blocking the evaporator return path is the number-one cause of "this reach-in never gets cold enough." Keep pans off the back wall and out of the discharge grille.
Outside, condensing units need 24 inches of clearance and ambient air below 100°F. Back rooms next to fryer batteries routinely run 110°F+, which no self-contained unit is rated for. Ventilate or relocate.
6. Know your defrost schedule
Most reach-ins need 2–4 defrost cycles per day; walk-ins depend on load and door traffic. If you are chipping ice off an evaporator more than once a season, the defrost cycle is failing — timer, heater, or termination thermostat — not "just humidity."
7. Put every unit on a preventive maintenance contract
A proper PM visit every six months (quarterly in grease- or hard-water-heavy sites) covers: condenser cleaning, evaporator inspection, defrost verification, gasket and sweep replacement, drain flush, refrigerant charge check, electrical contactor inspection, and amp-draw logging.
The amp-draw log is the part operators underestimate. A compressor drawing 12% more current than last visit is telling you something months before it fails.

8. Train staff on the three early warning signs
Anyone on the line can spot these:
- The box takes longer to recover after a busy service
- The condensing unit runs constantly instead of cycling
- New noises — rattling fan blades, hissing near lines, contactor chatter
Give them a single number to call and a rule: report it the same shift. A refrigeration tech on Tuesday morning is a fraction of the cost of one on Saturday night.
9. Have an emergency plan before you need it
Write it down and post it:
- Who to call, with the after-hours number
- Where the nearest rental reefer or backup cooler is
- Which products move first and where they go
- How to document time and temperature for your insurance claim
A cooler that fails at 11 p.m. becomes an inventory loss or a manageable inconvenience depending entirely on whether that list exists.
